Keibase ("we", "us") is a one-person web studio operated by Gil Anthuenis in Belgium. This notice explains how we collect and use personal data from visitors and clients, in compliance with the EU General Data Protection Regulation (GDPR) and Belgian data-protection law.

1. Who we are (data controller)

2. What data we collect

  • Contact form submissions: name, email address, and message content you voluntarily provide.
  • Client portal: email, name, and session cookies required to authenticate you into the portal.
  • Server logs: IP address, user agent, request path, and timestamps, kept for security and debugging.

We do not currently use third-party analytics, advertising, or tracking cookies. If that changes, we will update this notice and the cookie banner before activating the tools.

3. Why we process your data (legal bases)

  • Contract: delivering services you asked us to perform (building your site, hosting, support).
  • Legitimate interest: replying to contact-form inquiries; keeping server logs for security.
  • Legal obligation: keeping invoices and business records as required by Belgian tax law.

4. How long we keep data

  • Contact-form messages: 12 months, then deleted.
  • Client data (portal accounts, project records): for the life of the engagement, plus 7 years for invoices per Belgian accounting law.
  • Server logs: 30 days rolling.

5. Where we process it

Our servers are hosted by Hetzner Online GmbH in Nuremberg, Germany. Email is delivered via Google SMTP and Cloudflare Email Routing (EU). No personal data is transferred outside the EU/EEA.

6. Your rights under GDPR

You have the right to access, correct, export, or delete your personal data, to restrict or object to processing, and to withdraw consent at any time. Email [email protected] to exercise any of these rights.

If you believe we are mishandling your data, you can lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit) at gegevensbeschermingsautoriteit.be.
